Set out the statement period

Start with the dates printed on your statement. Write down the first and last date, the account label and the currency. Gather consecutive statements if you want to check more than one month. A monthly pattern needs more than one occurrence to compare; an annual payment may sit outside a short statement period. Keep the original documents beside your notes so every entry has a source.

Copy the outgoing rows

Make columns for date, statement description, amount and page number. Copy each outgoing charge once, keeping the description as printed. Group rows with similar descriptions in a second column while preserving the original text. A payment processor can collect for several services. Use a receipt or service record to connect a vague description to a subscription, and keep that connection visible in your notes.

Compare dates and amounts

Put each group's dates in order. Compare the intervals and mark patterns that look weekly, monthly, quarterly or yearly. Month lengths and payment dates vary, so use the actual dates rather than assuming identical gaps. Compare amounts separately: the same service can charge different amounts. Repeated shopping at one merchant also produces repeating descriptions. Record the observed pattern and check the service record before labelling it a subscription.

Made-up example: two monthly charges

Imagine a fictional statement in Australian dollars. “Example Music” appears on 5 August, 5 September and 5 October 2026, each for A$12. “Example Storage” appears on 18 August, 18 September and 18 October 2026, each for A$4. The music rows total A$36 and the storage rows total A$12. Together, these six listed charges total A$48 over the statement period. Each total can be checked by adding the copied rows.

Check the labels against records

In that example, the matching dates and amounts show two monthly patterns. Receipts naming the services and their billing periods would support calling them subscriptions. A single charge stays a single observed charge until another record establishes recurrence. Keep refunds beside their original payments and show both figures. This makes the difference between the amount charged and any later credit easy to follow.

Finish with a traceable list

Tick every copied row against the statement, then add each group again. Record the latest observed charge and the documents you checked. Keep a future renewal date from a receipt separate from an estimate based on past dates. The finished list shows the repeating charges visible in those records, with dates and amounts. Axiolia puts the patterns from your own statement in one view for you to check against the original rows.

Axiolia reads the statement, payslip or bill you hand it and shows the same pattern in one view. Try it on a sample statement first, free, no email.
